 Nuku Ora is the independent body for physical activity in the Wellington region. We are a charitable Regional Sports Trust dedicated to improving people’s holistic wellbeing through physical activity. We work across health, education and physical activity sectors in play, active recreation, active transport, and sport.

We are now looking for an efficient, organised, and competent person to join our Business Team as an Executive Assistant/Administration Manager. This is a key role, providing comprehensive support for our CEO, Board of Trustees and the Senior Leadership Team. It is essential to the smooth daily functioning and operations of our Wellington office, whilst also supporting in ensuring our Masterton and Pelorus Trust office spaces are fit for our team's use. This is a permanent, full-time role and due to the nature of the responsibilities will be based in our Thorndon Quay office.

Key tasks of this role include:

  • Provide full administrative support for the CEO – including calendar management and email monitoring.
  • Support the Senior Leadership team in their fortnightly hui and coordination of organisational hui’s.
  • Conduct Board Secretary duties
  • Provide administrative leadership and support across the organisation.
  • Be the first point of contact for external stakeholders.
  • Ensure the office spaces and meeting rooms are well presented, fully stocked and set up each day.

The ideal candidate must be an approachable, efficient team player, who is logical and process driven. You need to be an effective planner with the ability to anticipate areas of focus and pivot to meet the needs of the organisation when necessary. Professionalism, good time management and adaptability are key aspects of the role.  The role requires someone who has an understanding of the importance of confidentiality. Previous experience in an EA role is preferred.

Board Member - Swimming Wellington

The Swimming Wellington Board oversees and provides guidance and decisions for the Swimming Wellington staff and 13 member clubs to ensure the organisation is well governed. The Board also engages with officials, volunteers, coaches and swimmers.

The Swimming Wellington Board is made up of six members. As per the constitutional rotation policy, Swimming Wellington is advertising for one new board member to be appointed by an appointments panel. The board’s formal role is set out in the Swimming Wellington Constitution. 

The board is responsible for:

  • Governance
  • Collaborating
  • Strategy
  • Engagement

The board provides insight and advice to support the Executive Officer, who is responsible, along with a staff of three, for the day-to-day operational running of Swimming Wellington and the activities required for Swimming Wellington to meet its short-term and long-term goals.

Term
The term of board members appointed by the board is from the date of appointment until the third annual general meeting after the appointment. Board members are entitled to stand for re-election for up to two further terms after the initial term.

Time Commitment
The board meets approximately every 6 weeks for 2 hours. From time to time the board will meet out of session to work on strategic matters and to address any urgent issues. Board members are also encouraged to attend 1-2 meetings of 2-3 member clubs each year and liaise with those club’s senior officers to ensure clear communication channels are available for the benefit of the member club and the board.
